Terms & Conditions

These Terms & Conditions (the “Terms”) govern your access to and use of HaulPilot (the “Service”), operated by HaulPilot (“we”, “us”, “our”). By accessing or using the Service you are contracting with HaulPilot and agree to be bound by these Terms.

1. Acceptance of Terms

By creating an account, accessing, or continuing to use the Service, you agree to these Terms. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization. If you do not agree, you must not use the Service.

2. The Service

HaulPilot provides AI-assisted reading of oversize-load permits and truck-safe route planning, including map-based routing and clearance information. Route guidance and permit interpretations are provided for planning assistance only and do not replace your legal obligation to verify permits, restrictions, and road conditions with the relevant authorities.

3. Acceptable Use

You agree not to misuse the Service. In particular, you must not:

  • use the Service for any unlawful, fraudulent, or deceptive purpose;
  • transmit spam, malware, or other harmful or malicious code;
  • infringe the intellectual property or other rights of any party;
  • probe, scan, scrape, overload, or otherwise interfere with the security or integrity of the Service.

4. Accounts & Credentials

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate information and keep it up to date.

5. Intellectual Property & Anti-Copying

The Service, including its software, source code, user interface, designs, branding, prompts, data compilations, and underlying methods, is the exclusive property of HaulPilot and is protected by copyright, trademark, trade secret, and other intellectual property laws. All rights not expressly granted are reserved.

We grant you a limited, non-exclusive, non-transferable, revocable right to use the Service within your selected plan. You must not, directly or indirectly:

  • copy, clone, reproduce, mirror, or create derivative or substantially similar products or services based on the Service;
  • reverse engineer, decompile, disassemble, or attempt to derive the source code, models, or prompts of the Service;
  • resell, sublicense, rent, lease, or otherwise commercially exploit the Service or any part of it;
  • scrape, harvest, or extract content, data, or designs for the purpose of building a competing product;
  • remove, obscure, or alter any proprietary or copyright notices.

HaulPilot retains all ownership of and goodwill in its name, logo, and brand. Unauthorized use may result in immediate termination and legal action.

6. Safety & Driving

HaulPilot provides planning assistance only and is not a substitute for safe, lawful driving or for official permits and road information. You must verify all routes, clearances, weights, restrictions, and road conditions with the relevant authorities before and during travel.

  • Do not interact with the Service while driving. Plan and review routes only while your vehicle is safely parked.
  • The driver is solely responsible for the safe operation of the vehicle and for compliance with all traffic, weight, height, and permit laws.
  • Route guidance, clearance data, and weather information may be incomplete, delayed, or inaccurate, and must be independently confirmed.

To the fullest extent permitted by law, HaulPilot is not responsible or liable for any accident, injury, citation, delay, property damage, cargo loss, or other loss arising from use of the Service on the road or reliance on its guidance.

7. Payment & Subscription Terms

Paid plans are billed on a recurring basis until cancelled. Payments, billing, and currency conversion are securely processed by our payment provider Stripe. We do not store your full card details. You may cancel at any time; access continues until the end of the current billing period.

8. Taxes

Applicable sales tax, VAT, or GST is calculated and added at checkout where required. For supported regions, tax is collected and remitted on our behalf through our payment provider; in all other cases HaulPilot is responsible for the correct handling of applicable taxes.

9. Service Availability

We strive to keep the Service available but do not guarantee that it will be uninterrupted, timely, secure, or error-free. We may modify, suspend, or discontinue features at any time.

10. Disclaimers & Limitation of Liability

To the fullest extent permitted by law, the Service is provided “as is” without warranties of any kind, including implied warranties of merchantability and fitness for a particular purpose. To the maximum extent permitted by law, our aggregate liability shall not exceed the fees you paid in the twelve (12) months preceding the claim, and we shall not be liable for indirect, consequential, or special damages. Nothing in these Terms excludes liability for fraud, death, or personal injury where such exclusion is prohibited by law.

11. Suspension & Termination

We may suspend or terminate your access for material breach of these Terms, non-payment, security or fraud risk, or repeated or serious policy violations. Upon termination your right to use the Service ends; you may request export of your data within a reasonable window before deletion.

12. Governing Law

These Terms are governed by the laws of the United States, and the courts of that jurisdiction shall have exclusive jurisdiction over any disputes, except where applicable law provides otherwise.
